Committees and Roles

 

General Principles
 
Each committee consists of a chairperson and a sufficient number of members. Committee chairpersons and members are appointed by the Department Chair and/or the Department Academic Board. If necessary, the Department Chair and/or the Department Academic Board may make changes to the duties of the committees as well as to the chairpersons and members. Committee members are elected for a term of one year.
Chairpersons and members whose terms have expired may be re-elected. In the event of a vacancy for any reason, a new member is appointed to complete the remaining term.
A committee convenes with the simple majority of all committee chairpersons (other members of the committees may also attend if necessary) and makes decisions by the simple majority of those present. In the event of a tie, the chairperson’s vote is decisive.
Each committee works in coordination with other committees of the Department when necessary. The overall performance of the committees is evaluated by the Department Chair.
Each committee archives all its activities and prepares an annual committee file. At the end of the year, committee chairpersons submit their annual activity reports to the Department Chair. The Department Chair may establish temporary new committees if deemed necessary.
 
1. Quality and Accreditation Committee
 
Duties:
 
The committee chairperson organizes the division of tasks necessary to complete the sections assigned to this committee within the Self-Assessment Report (SAR), and periodically meets with members of other committees to evaluate the work results and present them to the Quality and Accreditation Committee.
 
Organize and monitor the work of the Self-Assessment Report Preparation Committee.
 
In cooperation with the University Quality Coordination Office, fulfill the requirements of the quality management system to enhance the quality of educational and research activities, and monitor corrective and preventive actions.

2. Minor and Double Major Programs Committee
 
Duties:
 
Identify the issues of our department students enrolled in other departments, or students from other departments participating in Double Major (DM) or Minor programs, and propose solutions.
 
Work on increasing the number of departmental Double Major and Minor program agreements.
 
Conduct informational activities for students to enhance participation and mobility in Double Major and Minor programs.
 
At the end of each academic semester, hold a meeting to evaluate the mobility of Double Major and Minor programs and submit the prepared report to the Department Chair at the end of the semester.

3. Information Systems, Website, and Social Media Committee
 
Duties:
 
Announce news, announcements, and events on the Department’s website and publish them accordingly.
 
Ensure that the data related to FEDEK on the Department’s website is kept up-to-date.

4. Internal and External Stakeholders Relations Committee
 
Duties:
 
Establish the External Stakeholders / Employer Advisory Board and organize meetings.
 
Enhance communication with employers and organize career days.
 
Gather opinions and suggestions from employers regarding our graduates and the department.
 
Conduct surveys with employers to determine their expectations from our graduates, in coordination with the Assessment and Evaluation Committee.

5. Education and Teaching Development Committee
 
Duties:
 
Make adjustments and updates to the educational program based on data from the Assessment and Evaluation Committee to ensure the program meets its teaching and learning objectives.
 
Contribute to resolving issues identified in all committees and guide the committees by monitoring continuous improvement efforts and decisions.
 
Submit a report of the improvements and developments to the FEDEK Quality and Accreditation Committee.

6. Exchange and Transfer Programs Committee
 
Duties:
 
Introduce student exchange programs (Erasmus, Farabi, Mevlana) to department students.
 
Coordinate course equivalencies for students going to or coming from other universities through exchange programs.
 
Submit documents related to student exchange programs to the Archiving Committee.
 
Work in coordination with the relevant university Coordinating Office.

7. Department Course and Examination Schedule Preparation Committee
 
Duties:
 
Prepare the department’s course schedule and ensure it is announced to students on the website and notice boards.

8. Department Activities and Social Events Committee
 
Duties:
 
Organize orientation activities for newly admitted students to the department.
 
Plan, organize, and coordinate scientific and social events for students and department staff, including announcements.
 
Evaluate requests for graduation events.
 
Monitor the activities of Student Clubs run by department students.

9. Disabled Students and Scholarship Committee
 
Duties:
 
Identify students registered in the department with disabilities and provide support for their needs.
 
Identify academically successful students with financial difficulties and facilitate the provision of scholarships.

10. Assessment and Evaluation Committee
 
Duties:
 
Determine and implement the methods required to measure and evaluate program outcomes; organize, conduct, and assess surveys related to program outcomes.
 
Prepare, administer, and evaluate surveys to assess the achievement of teaching objectives.
 
Prepare surveys for graduates and evaluate the results of these surveys.
 
Prepare, administer, and evaluate other surveys required by committees.
 
Compile data obtained from surveys and corrective actions into reports and submit them to the Accreditation Committee.
 
Include survey results in the Self-Assessment Report (SAR) and complete the sections assigned to this committee within the report.

11. Infrastructure Committee
 
Duties:
 
Identify deficiencies in department classrooms, computer laboratories, graduate student rooms, seminar rooms, and other infrastructure, and report them to the Department Chair.
 
Receive requests related to infrastructure deficiencies in the department’s computer labs or classrooms, develop policies to address them, and coordinate the resolution of any issues.

12. Academic Incentive Committee
 
Duties:
 
Announce information regarding academic incentives within the department.
 
Evaluate the academic incentive applications of department faculty members in accordance with regulations.
 
Submit the results of academic incentive application evaluations to the relevant unit.

13. Graduation, Alumni Guidance, and Career Planning Committee
 
Duties:
 
Provide guidance to graduating students regarding career development and planning.
 
Conduct activities aimed at enhancing communication with alumni.
 
Ensure that surveys prepared by the Assessment and Evaluation Committee reach alumni.
 
Provide information about the career fields of alumni and gather their opinions.
 
Collaborate with the Information Systems and Website Committee to update the alumni-related sections on the Department website.
